JOB TITLE                   :           FELLOWS’ LIAISION OFFICER

CLASSIFICATION       :           Contract- full time

REPORTS TO             :           Director

SALARY                     :           Commensurate with training and experience

AVAILABLE POSITIONS:          ONE (1)

Duration                      :           1 year renewable   

Main Purpose of the Job: To take charge of the Fellows welfare while on & offsite.

 Key Outputs

  • Fellows’ engagement on & offsite Work plan
  • Fellows’ support strategy per cohort
  • Information Packages to the fellows
  • Database of Past, Present and Admitted Fellows
  • Report

Key Duties and Responsibilities

  1. To offer holistic support to fellows by following up their admissions, visa applications and preparing for their arrival.
  2. Follow up the study plan progress with planned deliverables and support fellows on bottlenecks- technical and procedural- that may be causing them delays.
  3. She/he will support the collation of applications for initial eligibility screening.
  4. Provide advisory services to fellows during preparation of their applications, including responding to queries, technical or procedural.
  5. Develop a database of admitted fellows.
  6. Support induction of fellows as well as their settling in.
  7. Provide continuous technical support to fellows including technical advice during their study period both onsite and offsite.
  8. Conduct fellows follow-up to ensure that they are up- to- date with the milestones and deliverables they have set especially during the period of the Social Initiative.
  9. Prepare reports and to provide feedback to management on each fellow.
  10. Trouble –shoot welfare issues that are stalling fellows’ projects including technical implementation issues, and other encumbrances and propose solutions to overcome them.
  11. Support researchers in developing knowledge products for dissemination of findings
  12. Maintain a tracking of project performance of all fellows

 

Minimum Academic Qualifications

  • A Master’s degree in Peace and Conflict Studies or a Masters of International Relations and Diplomatic Studies
  • Additional certificate in a foreign language is desirable (Kiswahili, French or Germany)
  • A Bachelors in International Studies or International Relations or a related field.

Main Purpose of the Job: To take charge of the day today front desk office operations.

  • Registers of Center guests
  • Registers of all incoming and outgoing
  • Reports on center activities
  • Center up to date Calendar/Diary for activities of Staff

 

Key Duties and Responsibilities

  1. Supporting the ADMINISTRATOR in key activities in key activities related to requisitions, procurements, coordinating, accountability, coordinating documentation and filing of documents and maintaining the inventory
  2. Coordinating the organization of key program events including Field study activities
  3. Managing the front office desk including reception
  4. counselling fellows on administrative issues and referring / linking them to other officers who can support them on technical matters
  5. Handling documents – Receiving, storing, retrieving, dispatching, organizing documents and other correspondences of the unit
  6. Provide Secretarial services to meetings of the Center Staff
  7. Managing petty cash transactions
  8. Assist in the preparation of regularly scheduled reports
  9. Providing Support to the accounting and procurement functions
  10. Assist in logistics preparations for workshops and field study trips
  11. Any other responsibilities as assigned by the supervisor.

Minimum Academic Qualifications

  • Bachelor of Science in Guidance and Counselling
  • Bachelor of Arts in Arts (Records management)

Any of the following

  • Research and Field work experience
  • Experience in managing projects

Main Purpose of the Job: To Assist the Communications and Engagement Officer in the day today Centers Communication, branding, outreach and marketing.

  2. Engage actively on social media
  3. Assist the Engagement and Communications officer
  4. Prepare Center reports and all presentations

 

Minimum Academic Qualifications

Bachelor’s Degree or Diploma in any ICT related field, with expertise in the development and packaging of Social Media Content. Ability to create communication cards and use of infographics will be an added advantage.

Main Purpose of the Job: Ensuring the Security and compound cleanliness of the Peace center and Mugenyi Flats.
